Pets in the Pines 2015 Vendor Policies and Information The 9th Annual Pets in the Pines Adoption Event will be held on Saturday June 27, 2015 at the City Hall Parking lot and lawn areas in downtown Flagstaff on Aspen Avenue. Set-up: Show hours: Tear-down*: Friday, June 26 Saturday, June 27 Saturday, June 27 5:30 pm to 7 pm 9 am to 3 pm 3 pm to 4:30 pm *No one may tear down prior to 3pm. If that occurs, the vendor will not be invited back. Vendors should drive to the City Hall west side parking lot and check in prior to unloading. It is vital to the event that your vehicle be moved immediately after unloading. Security will be provided Friday night from 7 pm to 7am. However, SCCA nor hired security agents are responsible for any loss, theft or damage. o o o o o o o o o o o We highly recommend that you bring a 10’x10’ pop-up canopy for your booth space. Weights are required for all canopies. If your tent is not weighed down on each corner, the City’s Operations Director will ask you to take down your canopy. Staking is not allowed. Do not set up your display outside of your space boundaries. You will only have to move it. You must supply your own equipment to support your booth. We will not provide table covers, change, calculators, bags, boxes, tissue paper, etc. Electricity and Running water are not provided. If you are selling anything, you need a City of Flagstaff sales tax license and we are required to obtain a copy. If you have a 501 C (3) we will need a copy. If you do not have a 501 C (3) we will need a tax ID, and if you do not have a tax ID we will need a copy of your temporary license, if you do not have a city sales tax or business license you are required to submit an application for the license. Contact the city at (928) 213-2251 if you have questions about the sales tax license options available to you. If you are selling food you are responsible for obtaining County Health Permits for food handling, preparation and public distribution. A copy of this must be submitted to Second Chance. Contact (928) 679-8750 for more information regarding County Health Permits. Please bring enough change for the duration of the show. You may not sell food items in your booth unless approved prior to the show date with verification of a Food License from the Coconino County Department of Health Services. Smoking, alcohol, and open flames are not allowed on the premises. Fire extinguishers are required for those using electrical equipment/ generators or if bringing a food truck. All garbage must be taken to the dumpsters at all times during the event. Food waste must be properly disposed of; i.e. grease and oil dispensers. SCCA highly recommends vendors NOT bring their unaccompanied minor children (12 years and under) to Pets in the Pines, either during set up or during the actual event. If your children must be with you for a short time, we ask that they stay in your booth and not be allowed to wander. If we have any complaints, we will request you make other arrangements immediately. Failure to obtain or display your necessary permits and/or licenses will not be liable to Second Chance Center for Animals nor will they refund ANY fees. You must provide a certificate of insurance for general liability insurance naming Second Chance Center for Animals as an additional insured for the dates of the event.
