The purpose of this audit is to document current conditions and identify opportunities for this organization to improve its services for the supporting customers. This report will function as both an analysis of current situation and a blueprint which indicates the methods to build upon. Emphasis will be placed on the following goals: • Cost reduction via consolidation, and simplification and reduced TCO • Improve quality of service to customers by effectively using advanced functionality of available technology considers the following: • Initial sale price ABC Company’s current computer network is positioned well for future growth. Most of the workstations have been upgraded recently to a standard Pentium III configuration. This will provide a scalable hardware foundation to build on, however; there are some software configurations that are missing and/or not opti- • Support costs • Downtime costs TOTAL COST OF OWNERSHIP • Upgrade costs • Management costs One of the most critical factors of technology costs is the Total Cost of Ownership or TCO. This concept quantifies all the costs of owning and operating and maintaining technology, not just the initial purchase price. To this end, this report will make recommendations that will maximize performance to the objectives while minimizing the TCO. mized such as AntiVirus and resource sharing. Page 2 May 2001 C U R R E N T H A R D WA R E S TAT U S NETWORK INFRASTRUCTURE “70% of all network problems can be traced to faulty wiring” With all the possibilities that are available today such as email, resource sharing, internet, and server based computing, it is safe to say that network infrastructure should be mission critical to any organization. The network must be made to meet the minimum standards that will insure reliable and efficient use. We recommend the following issues be addressed: Every computer must be connected to the network to insure proper backup, antivirus, e-mail, and resource sharing. • All wiring must be made to conform to standard Category 5 requirements (see http://www.levitontelcom.com/ education/dodont.index.htm ) • • • • • Any new network component purchases must have 100MBps capability. Use high quality Ethernet switches instead of hubs or switches. This will improve network speed. Develop network diagram NT Workstation Gateway at each location w/ proxy and anti-virus distribution. AC power – UPS All mission critical systems and devices should be protected with Uninterruptible Power Supplies (UPS), which protect against power surges and outages. Most hardware vendors require a the use of a UPS to guarantee warrantee coverage. All UPS batteries should be proactively replaced every 3 years. Resource sharing Sharing resources drastically reduces maintenance and support costs, therefore we recommend that whenever possible that resources be centralized and shared. The following should be considered for consolidation: • FAX • Printers (use print server devices) • Backup to a central server / HD SERVERS After verifying software compatibility and a full backup, the location 1 server could be rebuilt as a Windows 2000 server. This will allow remote access via the Terminal Services feature that is now available in Windows 2000 server. The location 2 Server is currently built as a “Member Server” which does not validate logins or utilize much of the security functionality of the server software. This could be rebuilt as a Domain Controller to increase security and reliability. use of a proxy server. Every printer can be shared and accessible to everyone on the network. Both servers need to have Anti-Virus software and Proxy server software installed. See software section of this report. WOR KSTATIONS All networking components should be made capable of supporting 100 Mbps for faster network speeds. Since the workstations have been upgraded recently, most hardware needs have been met. However, the following issues should be addressed: All non-critical modems should be removed or disabled to reduce security and maintenance costs. This standard should be updated regularly to include latest patches, updates. Every workstation needs to have AntiVirus installed. All data should be stored on a centralized server to facilitate backup procedures. Additional functionality including internet access to every desktop, secure and reliable Email access and remote access can be achieved by adding software such as proxy server, e-mail server, and terminal services. However, before any of these are utilized, there needs to be a mandatory implementation of a centralized, self-sustaining AntiVirus system. This should be implemented immediately as one of the highest priorities. Following are software issues and descriptions: Non-licensed installations are illegal and can be punishable up to $250,000.00 per instance! Moreover, a consortium of software developers (including Microsoft and Sy- mantec) have combined efforts this month to identify and prosecute offenders in this area. Network protocols that are not being used should be removed to increase network speed. Standard TCP/IP and NetBEUI protocols should be installed everywhere. Backup Backup of the central system appears to be in order. However, a procedure to verify the backup actually occurred should be implemented, along with a procedure to perform a test restore. All other data should be stored centrally on a file server that can be completely backed-up daily and tested on a regular basis with minimal human interaction. A full backup should be stored offsite at all times to protect against catastrophic damage such as fire, theft or tornados. This offsite backup should be updated weekly. The backup of Peachtree is currently causing an error. This issue will need to be addressed in more detail to resolve. If possible, this data should be stored on the server. Avirt’s Gateway is a low cost proxy server software solution. P ROX Y S ERV E R The current Bright.Net Internet connections can be shared by all the computers on the network without installing any additional wires or modems. This is accomplished by using a proxy server software which runs on one computer (typically a server). This software has the following functionality: It will automatically connect and maintain a connection to the internet. Workstations can be configured to have full or limited access to the internet. All out-going internet traffic is recorded in a log file which displays who, when and what web pages were viewed. Frequently visited pages are stored locally in the server cache for faster retrieval. Avirt products create a physical barrier between the outside world and your internal network, hiding your LAN from outsiders. It is physically impossible for computers on the Internet to initiate communication with your LAN server or clients. Avirt’s unique IP-based security, available in Avirt Gateway and Gateway Suite, allows you to specify the exact IP addresses of the computers with which you want to communicate (usually LAN clients). Requests from unspecified computers are denied Page 4 May 2001 INTERNET Initial Responses to Telephones In 1876, an internal memo was circulated at Western Union about a newly invented device. As more and more individuals are utilizing the internet, it becomes important that any business be capable of communicating to and from the internet. Consider the initial responses to the use of the telephone. Palitto Consulting can help to develop methods to utilize the internet as a method to achieve organizational goals. Some of the possibilities include the following: • A domain name • A web page built to facilitate core organizational objectives including marketing, reduced response time, and improved communication. • Answers to Frequently Asked Questions (FAQ’s) • • Improved communication for internal associates (scheduling, benefits, regulations) Maps and directions to facilities with office hours and contact information. • • E-mail to facilitate communication with custom- As previously discussed a single internet connection can be shared with the use of a proxy server. ers PHONES The current number of phone lines appears to be sufficient to meet current needs. With the use of a proxy server, one phone line will need to be dedicated to internet connectivity. This may free up other lines that were previously used to access the internet. A first-tier long distance provider (such as Qwest, MCI or At&T) should be considered to reduce costs and improve service quality. Since 1st tier providers actually own the equipment they use, there is no “middle man” to slow down service request, and mark-up the costs. A 30% reduction in long distance costs can possibly be achieved by changing to a 1st tier provider based on Qwest’s recent pricing. In combination with a domain name (ie: abccompany.com) a E-mail system can add the ability to rapidly communicate with customers, supplier, and internal personnel in an efficient and professional manner. Seattle Labs produces a Email server software product that offers extensive messaging functionality at a cost that is much lower than more popular e-mail systems such as Microsoft Exchange or Novell Groupwise. Some of the functions included with SLMail are as follows: • LD rates should be reviewed annually. • Billing increments should be minimized to reduce costs • A no cost “toll free” number can be obtained and used to facilitate organizational objectives. Such a policy should define acceptable usage of all technology components and specifically the following: • Computers • E-mail • Internet • Phones • Fax • Confidential or Personal Information We strongly recommend that the following policies be addressed specifically: • • • • Every person with an email address must view the e-mail daily, as they will be held responsible for the information contained within. See Appendix. All electronic data files must be stored on a centralized server to facilitate efficient and effective backup. As the owner of the hardware and software, your organization has the right to read and act upon any information contained therein. Computer usage is not to be in violation of any organizational, State or • • • Federal standards. Computers should remain powered on at night (so that virus scans, backups and regular maintenance can occur) Work instructions should be developed for standard computer procedures and organized into a “Operating Manual” These policies should be clearly communicated and agreed to in writing for all computer users before granting access. This will protect your organization from legal liability and help to avoid uncomfortable situations involving computer usage. It is critical that all computer users agree to a “Computer Policy” ANTI-VIRUS A mandatory implementation of a centralized, selfsustaining AntiVirus system should be implemented immediately as one of the highest priorities. Just this week another virus hit the front pages of major news media. The most effective anti-virus software implementations have the following characteristics: • • • Mandatory - for all computers connected to a secured local area network (LAN) this includes laptops and home computers that connect remotely. Self-Sustaining - Effective anti-virus software must have the ability to update and distribute updates automatically. A centralized copy of anti-virus software be configured to download the latest virus defini- tions once and distribute that copy to all the computers on the network. This conserves bandwidth since every computer does not need to contact the internet to get the same update. • Virus scans should occur frequently (daily) on every computer Virus scanning is most efficient when performed overnight when computers typically are not used as much. However this requires that users leave the computers powered on overnight. • The scan log files should be monitored or a regular basis (weekly). • A proactive response to virus activity should be defined prior to a incident. • Users should receive basic training on how to avoid receiving and transmitting viruses, as well as how to react to suspected virus activity. • Protect every point of entry including E-mails, Attachments, Network shared files, Removable media, Downloaded files. The latest virus definitions can be downloaded automatically at no cost over the internet. Attached is the Appendix which documents supplemental material that could not be listed in the report.
