Mission Statement
The Downhome Expo is organized by Downhome Incorporated to create a consumer shopping and entertainment hub like no other. Encompassing both arenas of the Mount Pearl Glacier, the Expo will showcase products and services associated with valued aspects of life in Newfoundland and Labrador. The primary goal of
the Downhome Expo is to create strong brand awareness and exposure for our participants, and to reaffirm
Newfoundland and Labrador as a leading innovator by showcasing these amazing products and services,
available right here.

Exhibitor Lounge
There will be an Exhibitor Lounge available with various snacks, water, coffee and tea offered to exhibitors during set-up and ongoing throughout the event. This is a private lounge available to Exhibitors and their staff only.
This is known as the Glacier Lounge and is on the top level of Arena 1.
Exhibitor Badges
Exhibitors will be issued badges, which grant complete access to the event and the exhibitor lounge for the duration of the Downhome Expo.
Downhome Inc. will issue badges personalized with your company name upon registration during set-up.
Please register at the show office, located near the main entrance on the 2nd floor.
Inspection
All booth exhibits must be complete and ready for inspection by Expo Management and the Fire Marshall by
May 23 at 10am. Inspection will include proper installation of electrical cords and general safety features.
Fire Safety
In the best interest of Fire Prevention and Safety, the following safety procedures must be strictly followed by all
booth holders:

All extension cords MUST be approved and in good working condition.
All wires that are considered a tripping hazard MUST be taped down.
Booth must pass Fire Marshall inspection.

Exhibiting Combustive Equipment
Any Exhibitor planning to use or demonstrate combustive equipment or appliances must agree implicitly to the
conditions of the Fire Commissioner, Mount Pearl Glacier and Downhome Inc.
Insurance
Downhome Inc. or Expo Management is not responsible for any loss or damage to persons, exhibits or decorations, caused by fire, theft, or any other cause while in The Mount Pearl Glacier. Exhibitors should consult
their own insurance brokers to protect themselves against insurable risks. In consideration of acceptance of
the application to exhibit, the Exhibitor hereby releases, waives, and forever discharges Downhome Inc., The
Mount Pearl Glacier, and all service and supplier groups as designated by Show Management. This release
from all the above and any claims arising as a result of bodily injury or death of a person or persons arising
out of the exhibitor’s use of facilities, and also from any and all claims as a result of any loss or damage to the
Exhibitor’s property caused by fire, theft, accident or cause whatsoever during the moving of materials to and
from the Expo.
Exhibitors should have a rider attached to their insurance policies, covering the shipment of merchandise to
the Expo, Expo days and return of the merchandise to their storage facility/home base. Exhibitors must include
with booth payment proof of current and in force commercial general liability insurance. Proof of in force commercial general liability insurance with a limit of $2,000,000 minimum, must be submitted to Downhome
Inc. Exhibitors who use contractors for booth installation and removal should insist upon evidence of comprehensive general liability insurance providing coverage of at least $2,000,000 inclusive for bodily and/or property damage for each occurrence.
Staffing
All booths must be staffed by at least one individual at all times.
Cleaning
Each evening, commencing Friday May 23, through Sunday, May 25, the regular Expo areas will be cleaned
and the waste containers emptied. There is no cost for this service; it is provided with the rental agreement.
The service will be performed automatically. Cleaning of individual booths is the responsibility of the individual
booth holder. In the unlikely event that the area in front of your booth is not cleaned please report it as soon
as possible to Expo Management. Expo Management accepts no responsibility for any loss or damage to the
exhibits, displays or products as a result of performing this service.
Fork Lift Service
There is a fork lift service available if required. The fork lift service will not be available after 6pm, May 22,
2014.
Booth Relocation
Management reserves the right to alter or change the space assigned to the Exhibitor (with due cause).

Booth Construction
Booth holders will be given dimensions of their booths and must ensure that there is no encroachment into
aisles, walkways or other booth areas. Dimensions of booths are outside measurements.
No booths will be constructed as to interfere with, impede, or in any way detract from another booth. No
booth, or part thereof, will be constructed beyond 14 feet in height, unless express approval is received in advance from Expo Management.
The Exhibitor agrees that no display may be dismantled or goods removed during the entire run of the Expo
and booths must remain intact until the closing hour of the last day of the show. The Exhibitor also agrees to
remove the exhibit, equipment and appurtenances from the show building by 12pm, May 26, or in the event
of failure to do so, pay for such additional cost as may be incurred.
Booth Activities
Management reserves the right at any time to alter or remove exhibits or any part thereof, including printed
materials, products, signs, lights or sound, and to expel Exhibitors or their personnel, if in Management’s opinion, their conduct or presentation is objectionable to other Show participants.
Cancellations
Management reserves the right to cancel this contract and to withhold possession of exhibit space if the Exhibitor fails to perform any material condition of the contract or refuses to abide by the Show rules and regulations, in which case the Exhibitor shall forfeit as liquidation damages all space rental payments made by him
and any further occupancy of such space.
By cancelling this contract the Exhibitor forfeits all rights or claims to the allocated space and Management is
free to rent it to others and collect the cancellation charge.
Admission Fees
Daily admission will be $9.00 including HST per adult, with a $2.00 discount available when presenting a
coupon. Admission is $2.00 including HST per youth 12 and under. Children under 5 will be admitted free,
provided they are accompanied by an adult.
Daily adult admission includes one ride on the zipline, entrance to the kid’s zone, and one free try at “In It to
Win It.
Daily Youth ticket includes one ride on the zipline and entrance to the kid’s zone.
Twitter
The Downhome Expo will be incorporating the use of Twitter at this event. Exhibitors and consumers alike are
free to post tweets regarding show specials, contests, booth locations and general interest queries. We encourage exhibitors to utilize this social media tool to engage patrons of the event. Foul language is not permitted
and social media users acting irresponsibly, as deemed by Expo Management, will be banned from further use.

Tips to make expo work for you!
Booth Display Tips and Tricks: How to set yourself apart from the competition

Not only is the Downhome Expo a great opportunity to turn profit by selling your fantastic products and services, it is also an amazing chance to network with potential business partners to grow your business even
more.
I personally have taken part in many successful trade show exhibits and events and I’d like to share with you
the tips and tricks that I have learned and used in the past, to ensure that your booth is a total success!
Have your Business Cards Ready
This is a given. Your booth is not your permanent location, so you must communicate to potential consumers
what you do, who you are and where you operate. Business cards are the simplest way of achieving this. They
should be neatly stacked in a place that is easily accessible. Make sure you keep a few on hand for those potential networking opportunities. You don’t want to run out, so make sure you bring plenty.
Host a Raffle
A raffle is a great way to gain information from prospective consumers and clients. Offer one of your business’
products or services as a prize. Collect entry forms (with name, phone number, and email) in a clear container
(like a vase or fishbowl) to show off how many entries you’ve received.
Include signage next to the vase/fishbowl or on the entry form that says by entering, the contest entrants are
giving you permission to contact them about news or special offers with regards to your company.
Require that entrants be present at drawing time to win; this tactic brings consumers back to your booth. Or, a
simple phone call or email to notify the winner a day or two after the show works as well and may be more effective if your draw is not happening the same day.
Not only have you created a memorable way to interact with your consumers and clients, but you’ve also
gained their permission to stay in touch with direct or e-mail campaigns.
Green is Good!
It can be remarkable how glum some booths can look. If you want to freshen up your booth space and give it
some life, try bringing a few plants or flowers. Plant rentals are available through Atlantic Audio Visual. This is
a fantastic way to freshen up the look of your booth.
Let There Be Light
Events like these can be dark. Although the Glacier has ample lighting, display signs and props cast shadows.
Consider using a table lamp or spotlight for your booth to brighten up your space. This will attract more attention from consumers and clients and make you stand out from your fellow exhibitors.

The first sale is the hardest sale. Use the Expo to make that 1st sale!
Use "Expo Specials" to create a precedent setting purchase with your company.
How to create that purchase!
Take advantage of your best suppliers to help create and fund your "Expo Special"
Sell gift certificates or vouchers at a discount.
Use Coupons for services or products with an expiry to create a call to action.
* Show special “arrow” signage will be available for free upon registration at the show office, located near the
main entrance on the second floor.
Follow Up!
Just because the event is over, doesn’t mean the work is. Be sure you follow up with raffle winners and the
contacts you have made. Wait a few days before making contact, to avoid appearing too eager. But don’t wait
much longer or that prospective consumer or client will have forgotten about your encounter.
An event like this is money well spent when effectively utilized. Try and be creative in what you want to display in your booth and most of all, have fun! If people see you are having fun with it, they will enjoy it as well.
Get Noticed
You only have a few seconds to catch the attention of that potential client or consumer, so it is vital that you
have signage that is clearly visible, eye-catching and easily read. Use colours that are consistent with your
brand, giving your booth a more professional feel. A quick, easy-to-read headline can have a tremendous impact.
Exhibitor’s Choice Best Booth Prize
This year we’re introducing a bit of friendly competition to the Expo in the form of a “Best Booth, exhibitor’s
choice” award. How do you win? Create a booth that you think will be better than anything else at the show.
How do you vote? The winner will receive a $1,000 advertising credit to be used in Downhome magazine or
Home & Cabin magazine plus a unique trophy commemorating their stellar booth creating capabilities. Well,
that's easy. Take a walk around the Expo, experience what each booth has to offer, then decide which one is worthy of the “best in show” title. A Downhome Expo staffer will drop a ballot at your booth and then return to collect it.

Taking Payments at the Expo

Part 1
Participating TD Easy Pay Exhibitors will be provided with a two-part form
that will indicate booth name. Exhibitors will fill out the customer’s name and
amount to be charged to the customer’s credit/debit card (including taxes).
The customer then brings the slip to the TD Easy Pay booth, indicates their
payment method and payment will be processed. The TD Easy Pay booth representative will be stamped paid with the unique Expo Stamp for the customer to return to the exhibitor’s booth in exchange for their purchase.

Security will be provided by Downhome Inc. Neither the Mount Pearl Glacier, Show Management, nor Show
Sponsors will assume responsibility for any loss, damage, accident or theft of any products or displays. It is
your responsibility to ensure the safety of your valuables and to secure adequate coverage against insurable
risks.

Plan Security into the design and construction of your booth.
Make an inventory list of all equipment and product before you ship your freight.
Ship freight in well constructed, lockable containers. Never indicate the content on
the outside of the container.
Provide your shipping company with accurate and complete bills of lading.
Make sure crates are unpacked in your presence. Compare the contents to your original inventory list.
Be alert during move-in and move-out times, when there is the greatest risk of theft
or loss.
Buy insurance for exhibits and products and get coverage for transit to and from The Mount
Pearl Glacier.
Show Time Security Measures

Never leave your booth unattended. It is against the Downhome Lifestyle Expo rules
and it leaves your booth vulnerable to theft. Lock up any purses, briefcases, samples, etc.
Consider securing valuables in another location each night.
Cover all displays and tables at the close of each show day
Use security cables, tags, screws, Velcro and alarms to protect valuable items.
At the close of the Show on Sunday, May 25, 2014, pack all your products before
you leave.

Section IV – Rules and Regulations
Downhome Expo Exhibitor Terms & Conditions
Terms & Conditions of the Contract
1. Management agrees to provide the Exhibitor with a booth
space located as per the attached plan and the cost quoted.
2. The Exhibitor agrees to abide by all regulations and rules
adopted by Management in the best interests of the Show, and
agrees that Management shall have the final decision in adopting
any rule or regulation deemed necessary prior to.
3. The Exhibitor will be liable for and will indemnify and hold
harmless Management from any loss or damages whatsoever suffered by Management as a result of any loss or damages whatsoever occurring to or suffered by any person or company, including
without limiting the generality of the foregoing, Exhibitor, other
Exhibitor, Management, the owner of the building and their respective agents, servants and employees and members of any
public attending the Show, either on the said space or elsewhere
if said loss or damages arose from or were in any way connected
with Exhibitor’s occupancy of said space.
4. Management reserves the right, at its sole discretion, to
change the date or dates upon which the Show is to be held, and
shall not be liable for damages or otherwise by reason or any
such change. In addition Management shall not be liable for
damages or otherwise for failure to carry out the terms of the
Agreement in whole or in part where caused directly or indirectly
by or in consequence of fire, storm, flood, war, rebellion, insurrection, riot, civil commotion, strike or by any cause whatever beyond the control of Management whether similar to or dissimilar
from the causes enumerated herein. In the event that the exhibit
space to be used by the Exhibitor should in any way be rendered
unusable, the Exhibitor shall pay for such space only for the period during which it was or could have been used as determined
within the sole discretion of Management. A refund of all monies
paid by the Exhibitor to Management will be made by Management in the event that the Show is not held as proposed by Management.
5. The Exhibitor agrees to observe all union contracts and labour
relations in force, agreements between Show Management, official contractors serving companies and the building in which the
show will take place and according to the labour laws of the jurisdiction in which the building is located.
14. All operating electrical equipment used in the exhibit must
have C.S.A. or equivalent provincial power authority approval.
15. All booth holders are responsible for providing liability insurance to ensure their adequate coverage and protection during the
Downhome Expo.
16. Exhibitor representatives are responsible for the continuous
cleaning and removal of refuse from the booths at all times, including booth set-up and removal.
17. Any Exhibitor planning to use or demonstrate combustive
equipment or appliance must agree implicitly to the conditions of
the Fire Commissioner, Mount Pearl Glacier and Downhome Inc.
18. Any Exhibitor demonstrating or operating machinery and /or
products must ensure that care is exercised to protect the general
public from harmful fans, mobile equipment, fires, and items generating heat etc.
19. Management reserves the right to cancel this contract and to
withhold possession of exhibit space if the Exhibitor fails to perform any material condition of this contract or refuses to abide by
the Show rules and regulations, in which case the Exhibitor shall
forfeit as liquidation damages all space rental payments made by
him and any further occupancy of such space.
20. This contract may be cancelled by either party provided written
notice is received by the other at least six (6) weeks prior to the
first day of the Show, in which case all monies paid by the Exhibitor, less the $200 down payment shall be refunded. If the Exhibitor cancels after this date, three-quarters of the total contracted
costs will be forfeited.
21. By cancelling this contract the Exhibitor forfeits all rights or
claims to the allocated space and Management is free to rent it to
others and collect the cancellation charge.
22. Subletting of booths is not permitted without written permission from the Show Management.
7. Downhome Inc. reserves the right to limit the number of overall booth spaces allocated to any particular product or service.
23. Wholesaler exhibitors giving their dealers and agents an opportunity to be present at the booths shall advise them that they are
not permitted to display any signs, logo, truck or other form of advertising, either at the wholesaler’s booth or on the property surrounding the Show area.
8. Booth holders will be given the dimensions of their booths and
must ensure that there is no encroachment into aisles, walkways
or other booth areas. Dimensions of booths are outside measurements.
24. All goods shipped to the Show must be clearly marked with
the name of the Exhibitor and the booth number. Management assumes no responsibility for loss or damage to goods before, during
or after the show.
9. No booths will be constructed as to interfere with, impede, or
any way detract from another booth. No booth, or part thereof,
will be constructed beyond 14 feet in height, unless expressed
approval is received in advance from the Show Management.
25. The Show Management shall approve all materials distributed
to visitors at the Gate. Booth holders are free to disperse their own
literature at their respective booths.
6. To ensure a variety of products and services, each Exhibitor
will be allowed to contract a maximum of 6 booths.
10. Management reserves the right to alter or change the space
assigned to the Exhibitor (with due cause).
11. The Exhibitor agrees that no display may be dismantled or
goods removed during the entire run of the Show but must remain intact until the closing hour of the last day of the Show. The
Exhibitor also agrees to remove the exhibit, equipment and appurtenances from the Show building by the final move-out time

26. Exhibitors shall not park their vehicles on the surrounding
grounds during the event, except in designated exhibition parking.
27. Downhome Expo badges will be made available to Exhibitors
and must be shown to gain access to the Stadium.
Note: Failure to adhere to the Contract Rules will result in the loss
of booth space and/or booth preference in future shows.

Most booths will be set with 8’ high black drape, 3’ high black side dividers.
(Please see you sales rep or your contract for exact booth size) A standard 120V
15 amp electrical hookup is included.
Carpeting/Flooring
The exhibit area is not carpeted. You are NOT permitted to affix flooring or
fixtures to the ice surface covering in arena 2. (ie. nails, screws or tapes
that leave residue)
