Exhibiting with MLA
The Missouri Library Association (MLA) annual conference is an outstanding way to contact both
new and established customers in the library community. More than 400 individuals from
Missouri’s public, academic, school, and special libraries attended MLA’s 2013 conference. This
prospectus provides details on the opportunities to rent booth space in the Exhibit Hall, sponsor
events, advertise in the conference program, and more.
The 2014 Missouri Library Association conference is being held in the centrally located city of
Columbia at the Holiday Inn Executive Center. From either the St. Louis or Kansas City airports,
Columbia is an easy 2-hour drive on I-70. Alternatively, the Columbia Regional Airport is just 19
miles from the conference location. There are 63 booths available, which will be assigned on a
first-come, first-served basis.

Affordable booth space rental fees
o An 8 x 10 space is $500.00 for early registrants/$625.00 regular registrants
o Booth space includes
 6-foot skirted display table
 8-foot back wall and 3-foot side drape
 2 chairs, wastebasket
 1 professional vendor name sign (8”x36”)


Booth rental includes free conference registration for 2 representatives.
Columbia Regional Airport offers daily flights to Chicago and Dallas, and Lambert–St. Louis
International and Kansas City International Airports offer connecting flights to major cities.
Rooms in the conference hotel have been secured at the rate of $109.00 per night.
Vendors will be provided with multiple drink and meal opportunities to talk with
conference attendees.
Extra booth amenities and electrical services are available from the Holiday Inn Executive




For maximum vendor benefit, the following activities are planned:

Consider donating to the door prize event to be held on Thursday afternoon during a no-conflict, allconference break. It is a fun and easy way to draw attendees to your booth.

Held in conjunction with the exhibit hall opening on Wednesday, October 8, this is the most well
attended, no-conflict period of the conference. Attendees gather to socialize with vendors and see
what’s new and exciting. Complimentary beverages and hors d’oeuvres will be provided.
Awards Dinner

Held on the evening of Thursday, Oct. 9, MLA members gather at this semi-formal event to honor
the significant achievements of Missouri libraries, individual librarians, legislators who have
supported library services, writers, trustees, and friends. Please help us celebrate those who excel

at their profession and who support libraries by sponsoring the Awards dinner. (Two sponsorships
available.)
Keynote Speaker

Conference attendees will gather together on Wednesday afternoon, October 8, to hear about the
future of library services from David Lee King. King is the Digital Services Director at Topeka &
Shawnee County Public Library, where he plans, implements, and experiments with emerging
technology trends. He speaks internationally about emerging trends, website management, digital
experience, and social media, and has been published in many library-related journals.
Evening Social

Based on the popularity and success of this new event in 2013, we will host a Dance Party on
Thursday October 9. Vendors are encouraged to sponsor - and attend - the party and get to know
MLA’ers in a more social, informal setting.
MACRL Lunch

On Thursday, October 9, one of the most active divisions of MLA, the Missouri Association of
College and Research Libraries division, will gather for lunch.
Youth Services Author Luncheon

The popular, very well-attended Thusnelda Schmidt lunch will be held on Thursday, October
9. This event brings together the who’s who in children’s services to celebrate their very special
niche in the library industry.
Young Adult Division Breakfast

On Friday October 10, youth services librarians will gather to dine and discuss issues in youth
services librarianship and celebrate a guest speaker from the Young Adult genre.
Conference Break

Attendees gather for light refreshments and snacks, as well as vendor drawings. Held in the exhibit
hall, this break draws in large crowds. One break is available.

New Member Meet and Greet
$150.00
New and long-standing MLA members will gather to get an overview of the association and the
various roles they can play within the organization. An active association is a healthy association,
and we strive to continue to grow our base of volunteers and members.
Poster Session & Table Talks
$150.00
Located in the exhibit hall, these events are the perfect opportunity for vendors to meet and talk
with conference attendees.
Vendor Recognition Table Signage
During All-Conference Breakfast
$100.00
This breakfast will be held at 8 a.m. on Thursday, October 9. With sponsorship, a vendor will be
“assigned” a table with signage and will visit with attendees during the breakfast hour. Vendors
will have the opportunity to address the breakfast attendees as a group.
Tech Expo/Vendor Demonstrations
$100.00 for 25 minutes
We will have a stage area with theater seating at the south end of the exhibit hall set aside for
vendor use on Thursday, October 9. On a first-come, first-served basis, vendors can reserve a
specific time slot to present their product(s) to attendees. Vendor, topic, time and location will be
published in the conference program along with the regular schedule. MLA will provide vendors
with a “booth buddy” to ensure a booth presence during scheduled presentation time. 9 time
slots are available.
Bohley Scholarship
The Ronald G. Bohley Scholarship is sponsored by the Professionalism, Education, Employment,
and Recruitment Community of Interest (PEER) and is awarded annually to an individual enrolled
in or recently accepted into an ALA-accredited program in pursuit of a Master's degree in
Library/Information Science. Preference is given to Missouri residents or students. Each year the
Bohley Silent Auction is held at the MLA Conference to raise funds for the scholarship. Donations
can be sent to the attention of Anna Strackeljahn (St. Louis County Library - Oak Bend Branch, 842
S. Holmes Ave, Saint Louis, MO 63122) or dropped off at the Hospitality Desk when you arrive at
the conference. Please consider a donation.

General registration begins April 1, 2014. (Corporate members may register starting March 17).

Early bird registration deadline is July 25, 2014.
General registration closes August 29, 2014.
MLA will assign booth spaces in the order that they are purchased.
Exhibitors may not sublet or apportion booth space to any other business. Parent and subsidiary
businesses are not considered other businesses. Contractors are other businesses and require
their own booth space.
Exhibits should not project beyond the space allotted and should not obstruct the view or
interfere with traffic to other exhibits. The wings of an exhibit should not project more than three
(3) feet from the back wall. Permission to exhibit equipment with abnormal heights must be
obtained from MLA.
If you are only able to exhibit for one day, please let us know. We will place your booth in a
location that is most convenient for everyone.
Cancellations made in writing and postmarked prior to June 16, 2014 are subject to a 50%
cancellation fee. No refunds will be made following June 16, 2014. All cancellations are final.
MLA may resell cancelled booths as opportunities allow. No refunds shall be paid as a result of
subsequent booth sales.
