 JOB DESCRIPTION Title: Coordinator Date: October 2014 Reports to: AHEPPP Board & CEO Status: Exempt, Part-­‐time ABOUT ASSOCIATION OF HIGHER EDUCATION PARENT/FAMILY PROGRAM PROFESSIONALS AHEPPP is a national association that serves all higher education practitioners working with parents and families. Because of the important role that parents and families play in their students’ lives, it is AHEPPP’s goal to help colleges and universities throughout the world constructively involve parents and families in the higher education experience and promote those interested in helping accomplish this mission. AHEPPP is dedicated to facilitating meaningful and lasting contact with college and university parent and family programs. By establishing the means to successfully communicate with parent and family programs, a national support network will be sustained, stimulating opportunities will be created, and the colleges and universities along with their students will flourish. AHEPPP will serve as the ever-­‐important link between colleges, universities, and their students and families. RESPONSIBILITIES OF THE COORDINATOR OF AHEPPP
The primary functions of the Coordinator include: • Marketing/Communication o Ensure effective communication with current and potential members, the Board of Directors, and related associations regarding the activities of the association using various means including AHEPPP website, quarterly newsletters, Facebook posts, press releases, position statements to the media, pamphlets/brochures, blogs, email, and the preparation of the Annual Report. o Develop and maintain effective and mutually satisfying relationships with other professional organizations including NODA, NASPA, and CAS by staying abreast of common goals and issues and keeping association membership aware of opportunities for training, networking, and collaboration. o Prepare and distribute AHEPPP’s Annual Report to members and interested parties, providing details about the Association’s activities and accomplishments of the previous year, and outlining the direction for the upcoming year. o Coordinate the bi-­‐annual AHEPPP Journal. o Provide excellent customer service to AHEPPP membership, partners, and stakeholders. • Membership Development o Seek new opportunities for membership expansion through the development of effective coalitions with other professional associations that support college parents and families. o Solicit and provide regular informational materials for current and potential membership, as well as educational materials for distribution by current members. o Maintain and update the database of members and publish membership directory. o Oversee a Peer-­‐to-­‐Peer Network by encouraging participation and referral of member requests for assistance and information. • Administration/Finance o Be available to membership and other parties and respond accurately and timely to requests for information and assistance. Record and publish minutes from Board and committee meetings and prepare meeting agenda. Partner with UniversityParent’s CEO and Controller to provide financial statements for regular board meetings. Oversee, in partnership with UniversityParent CEO and Controller, the financial matters of the association, including but not limited to: contracts management, basic accounting for invoicing and the receipt of revenue, and the purchase of materials and services required to support the organization and its annual conference. Seek new/additional sources of revenue through grant applications, new membership, organization activities including conferences and training, and advertising opportunities. Conference Activities o Under the direction of the Board of Directors, plan and coordinate all conference and training activities, including scheduling speakers and presenters, negotiating service contracts, arranging facilities and amenities, vendor exhibitions and participation, and successfully marketing the events to members and non-­‐members to ensure high levels of participation. o Attend at least one annual conference of a related organization as an official representative of AHEPPP. Work with related organizations on collaborative conference efforts. o Work with Board to arrange annual membership drive, including securing funding for events, meals, and awards. REQUIRED EDUCATION AND EXPERIENCE

Bachelor’s degree in business, communication, or a related field from an accredited institution. Master’s degree in higher education/student affairs a plus. A combination of parent program experience or managerial experience may be substituted. At least 3 years of progressively responsible management experience; preference may be given to candidates with experience in parent programming and higher education. KNOWLEDGE, SKILLS, AND ABILITIES This is a high-­‐level position requiring strong leadership skills and excellent organization and interpersonal skills. An ability to learn quickly and work independently is essential. The successful candidate must be able to work effectively with a Board of Directors, higher education, and parent program office professionals. This position requires a strong working knowledge of parent programming, higher education, administrative management principles and practices. WORK ENVIRONMENT Office for this position can be a home office (telecommuting) or in the Boulder-­‐based office of UniversityParent. This position is a 12 month, half-­‐time position (20 hours/week). SALARY Starts at $22,000 and commensurate with experience.
