Don’t Forget to Thank Your Volunteers!

The official Volunteer Appreciation Week is April 12 – 18 . While it’s great that
there is a week designated to thank all those who volunteer beside you and for
you, I think appreciation should happen on a daily basis.
Thank the parents of your school for supporting the PTA fundraisers and
programs. Let them know how much they helped raise and on what that money
will be used. Is the PTA purchasing books for the library or a new sound system
for the multi-purpose room? Remind your supporters what PTA is all about and
how we are helping out around school.
Did you sponsor a Principal’s Coffee and have less than perfect attendance?
Thank those who attended and briefly let everyone know what topics were
discussed. Then remind people of the date of the next coffee and what topics
will be covered.
Communication and Appreciation go hand in hand when talking with our parents
and supporters.
And now, on a personal note, I am sending a giant thanks to all those hard working PTAs throughout Ventura
County. I am in constant awe of all that you do. You are AMAZING!

TREASURER’S MOMENT...
It's All About the Treasurer!
Taxes:
I have been informed that the State of California is now looking at any units that have not filed their taxes for just
one year. Prior to now, they were looking at units that had not filed for three consecutive years. So now it is
imperative that all taxes, both state and federal, be filed in a timely manner. Units who have received letters from
the state or federal government need to contact us immediately. We, along with CAPTA, will do what we can to
help you from losing your charter and non-profit status, but we need to hear from you.
Paying for Convention:
Are you getting ready for convention? Do you have board members who do not want to pay for PTA expenses up
front? Remember to have them fill out a "Request for Advance" form. If you do not have the form, you can find it

on the 12 District PTA website. Make sure the form is approved by the president and returned to you. Within two
weeks of the activity, you will need to receive a Payment Authorization form that reconciles the actual amounts. At
that time, the member that received the advance will either request more funds to cover any remaining costs or
write a check to the unit for the amount left over from the advance. If you, as treasurer, are the member who needs
the advance, fill out the appropriate forms and follow the same procedures detailed above.
Make sure that the expenses have been approved and the funds have been released. It is important to follow

Convention will be held from April 30 - May 3rd in beautiful Sacramento.

Some things to remember:

 As of April 1 , the price is $269 for a full time delegate. Lower prices are available for multiple people
registering from the same school site.
 If you qualified for a Teachers Matter award, please do not register until you get that code. PTA will NOT be
issuing refunds to schools that register but do not use the code.
 There is NO state dinner this year. Instead, the Reflections Gala will be held on Saturday night. Dinner will
be from 6 p.m. - 7:30 p.m. and the cost is $55 per person. Immediately after dinner, there is a no charge
award presentation where you will see the children receive their awards, as well as their fabulous art work.
Are you a PTA Leader?
Then you need Leadership Conference!
You wouldn’t let an untrained person coach your soccer team.
You wouldn’t let an untrained person teach your child to dance.
How can your PTA work without trained leaders?
All board members should be encouraged to attend. Even PTA veterans can use
training because rules change and there is always something new to learn!
Cost: $20.00 per person for the 1st three people.
Bring more than three and the additional people go down to $15.00 each.

Congratulations Treasurers!
I am once again pleased to say Thank You to all the council treasurers and OOC unit treasurers for getting in all
memberships and insurance payments. We are at 100%, which means that we have no units that are not-in-goodstanding. Way to go!!!
Membership Remittals:
Don't forget, membership drives continue all year long so continue to forward membership dues through channels
regularly. If you have collected membership for March Madness, make sure it is forwarded to me by April 15th so
you get the appropriate credit and rewards. If you are in a council, your council membership chair and council
treasurer may have an earlier deadline.
