Organizes and maintains an up-to-date and easy-to-retrieve filing system for all supply-related documents such as
Supply Requisitions (SRQ/PGM), Purchase Orders (PO), Invitation to Bids (ITB)/ Request for Quotations
(RFQ) notices and tabulations, CRC finalized submissions and all incoming and outgoing correspondence of the
section. Advises the Supply Specialist of the discrepancies noted in the course of the filing and ensures
completeness of the supply action folders up to the inclusion of proofs of payments (PRQ), signed delivery
receipts (DR) or Gov’t Receipts (GR) and/or summary batch file reports from database.
Serves as Focal Point for contracting and responsible for:
 Issuing Supply Requisitions
 Issuing Local Purchase Orders
 Payment Requests
 Monitoring/expediting progress on Regional and Local supplies.

For more costly procurements required under the procurement procedures, drafts bid invitations and/or requests
for price quotations; drafts fax solicitations and related correspondence. Coordinate CRC meetings by arranging
for suitable date and room, and by preparing and distributing files containing the cases to be presented.

Once decision on supplier is taken, compiles purchase order documents for supervisor’s signature; ensures
distribution of signed purchase documents to all required offices and ensures obligation of funds is recorded.
Provides procedural training and assigns clerical work to secretary.

Extracts procurement information from logs and records to assist Supply Specialist with info and statistical data
on past and present procurement documents in preparation of program meetings, annual reports, special reports
for Supply Division and for internal supply policy requirements. Adjusting costs for inflation and other
anticipated changes (i.e., effect of staffing changes on office equipment and supply purchases).

Takes guidelines and prepares drafts of important correspondences, using word-processing equipment, ensuring
that spelling, punctuation and format are correct, finalizes correspondence for supervisor’s signature, checking
enclosures and signatures.

Maintains manual and automated supply files and records; provides purchase information to receiving and
inventory staff; maintains procurement supply and vendor reference library.

Perform any other relevant duties as assigned by the supervisor.

Education: Completion of secondary education or equivalent, supplemented by courses in purchasing methods
and/or accounting.

Work Experience: A minimum of six years relevant working experience, preferably in a procurement function
and/or from an administrative function

Language Proficiency: Fluency in English and local language. Knowledge of another UN languages is an asset

Other Skills and Attributes: Drafting and organizational abilities and skills. Ability to operate various kinds of
office equipment/machines including computer equipment. Good computer skills essential.
