10 good reasons for GAIN Collaboration Data security The GAIN Collaboration system works with a check-in/check-out procedure, which offers a high level of security because the data is edited locally on the user's workstation or in a user workspace. The archive files are sealed off from access from the outside and can thus never be edited directly. No more data losses due to network failures. The GAIN Collaboration system automatically takes on the job of access control, which ensures that it is not possible for multiple users to edit the same document at the same time. The user rights system can be adjusted individually for groups, users and rules. Transparent and clear The GAIN Collaboration system offers a clear and structured interface which enables all users to find their way around quickly. All tasks can be carried out with just a few tools. The user can quickly find out all information about a document, such as its usage, bills of materials, and history. The search screen is an input screen and change screen in one. Clear dialogs make the GAIN Collaboration system into a transparent system which is quick to learn to use. Document search Documents, e-mails, and projects can be searched for via a search window in the GAIN Collaboration system. The search window has multiple tabs which display various different fields. All fields can be used and combined for the search. The use of wild cards and logical operators is supported. In addition, a global search of all entries in the GAIN Collaboration system is available. Searches can be stored using user-defined filters to enable faster access to documents. Copying and revising documents Clear tools for the copying and revising of documents help users in their daily work when they need to quickly, safely, and easily copy or revise complex structures. The use of a number generator allows mass copy operations to be carried out quickly and fully automatically. In the field of 3D CAD, all references are changed automatically during a copy operation, which means that there is no need for the laborious and time-consuming replacement of components. Interfaces The GAIN Collaboration system offers a range of interfaces to CAD systems with deep integration. In each application, functions are available, for example, for synchronising file properties or transmitting bills of materials from the CAD application to GAIN Collaboration. The GAIN Collaboration system fully supports the standard tools in the applications for, for example, placing components into an assembly or connecting new documents with the GAIN system. GAIN Collaboration offers the same depth of integration for MS Office products, too. Here, the same tools are available as in the CAD applications. For example, Word forms can be filled fully automatically. www.gain.de 10 good reasons for GAIN Collaboration Adjustability Installation Programming The GAIN Collaboration system is configured using graphical tools. Easy and clear dialog boxes allow a system administrator to adjust the GAIN Collaboration system in line with the necessary requirements in just a few steps. All settings are saved in the database and are thus included in the data backup. User-defined changes to the configuration as well as adjustments and enhancements to the database are not overwritten during updates. The GAIN Collaboration system can be installed and is ready for use extremely quickly. In the standard installation, the system can be used after two days of installation and configuration. The GAIN Collaboration system can be relocated without excessive effort and no need for a reinstallation if your company moves to a new location. GAIN Collaboration has an API (application programming Interface) with all functions that the GAIN Collaboration system offers. The functionality of the GAIN Collaboration system can be enhanced with custom functions at any time by means of the interface for the integration of customer-developed programs which access the functions of the API. This allows custom work processes to be depicted in the GAIN Collaboration system. Furthermore, the programming interface of the GAIN Collaboration system can be coupled to any ERP system. Records The system automatically logs information on document editing in the integrated history. All editing steps, status changes, copy processes, and revisions are recorded. This means that even years later you can see who edited, copied, or released a document. The parts usage information and references are automatically recorded, too, which means that you can quickly see where and how often a document is used. The integrated message system also records each piece of communication. This means that you can see who was assigned which tasks and when, for example. File storage The GAIN Collaboration system does not create cryptic directories and does not rename any files physically. Documents that are created in the GAIN Collaboration system are stored in Windows Explorer in the normal manner. There are no cryptic directories and encrypted file names like in TRESOR systems. The documents that are managed using the GAIN Collaboration system can only be viewed by a system administrator in Windows Explorer. This is highly significant for administration and maintenance. If the GAIN Collaboration system is not available for some reason, the documents can still be reached. www.gain.de
