Office Manager Position
Summary
The ideal candidate will have the ability to be a 'working manager' with excellent multitasking abilities. The office manager is responsible for managing the day-to-day
operations for the office, managing and scheduling office staff. He/she is often the first point of contact for the organization and would be responsible for taking calls,
welcoming visitors, and directing them through the process of registration. She/he must be a self-starter with the ability to juggle multiple projects, manage rapidly
shifting priorities and produce tangible results on his/her own initiative that align with organizational vision and mission. This position is responsible for the efficient
operation of general office duties supporting the Gymco management team. Duties include word processing, daily/weekly/monthly reports, managing office
functions, scheduling, filing, data management, billing/invoicing, customer service, and various other administrative assignments. As a representative of the company,
the office manager is also responsible for maintaining and supporting Gymco's culture.
Candidate Requirements

• Competency in office administrative tasks
• Excellent computer skills (internet savvy, Google docs, Excel, and PowerPoint)

Job responsibilities will include, but are not limited to:
• Organizing and supervising administrative activities to facilitate a smooth running of the office.
• Overseeing employee development
• Supervising receptionist staff
• Working with IT and Operations team to improve and streamline processes
• Working with senior management in the recruitment process including initial job postings, screening resumes, following up with candidates and coordinating
interviews
• Backing up the Controller, including entering QuickBooks transactions and other accounting duties (AR, AP, invoicing, payroll)
• Maintaining employee records
• Maintaining and tracking office management expenses and budgets
• Additional duties as assigned
Office Staff Training and Ongoing Training - Monthly
Assist in developing and executing employee orientation training and ongoing training.

Staff Evaluation -- 2 Times per Year
Office staff will be evaluated twice a year after the first six months. Evaluations will align with Gymco's mission and vision and follow an organizational template for
performance evaluations.
Professional Development -- Minimum 4 per Year
• Attend clinics, seminars, events
• Read books, professional periodicals and searching the internet for new ideas
• Take classes online or at a school
Quality Control - Weekly
• Monitor budget
• Work with senior management to monitor staff hours
• Create budget using historical information and reports
• Manage supplier and vendor relations to ensure effective purchasing
• Monitor and report variance in budget
Procedure Guide -- Ongoing
Work with management to maintain existing procedure guide and provide recommendations to create new procedures.
This is a full-time position with hourly compensation.
