GENERAL GUIDELINES
Hotel Information
A block of rooms are reserved at the Little Rock Peabody Hotel,
3 Statehouse Plaza, Little Rock, Arkansas at a discounted rate of
$159 plus a 4% facility charge and 11.5% tax per night. Call
800/732-2639 and refer to “CoLAP” or “ILAA” when making your
reservations. Check-in time is 3:00 p.m. and check-out time is 12:00
p.m. Our room block will be released on Friday, September 19, 2008
at 5:00 p.m. Central time, but rooms will run out before this date, so
make your reservation as soon as possible. Reserve your room today

Shipping
Due to limited storage space at the hotel, please send your materials
for the Conference to arrive no earlier than 3 days prior to
October 20, 2008. Storage charges begin to accrue on the 4th day
a box is on hotel property, $7.00 per box.
Peabody Hotel Handling charges: Boxes 20 pounds or less-$8 per box;
Boxes over 21 pounds-$.50 cent per pound; Weekend Receipt of
Pallets-$140 (plus box charges per pound)

To ship packages out of the hotel, you will need to complete a Guest
Package Form (these will be available at Conference Registration). All
outgoing packages must be correctly wrapped and addressed, including
air bill, for shipment with Peabody shipping form attached before the
hotel will process them for shipment.
Loss Prevention
Neither CoLAP, nor the hotel assumes responsibility for personal
property or equipment in any exhibit area. Be sure to remove any
valuables when you are not in attendance.
Exhibit Space
One draped table (6' by 30") and two chairs will be provided to
each exhibiting entity. Due to space limitations, we are unable to
accommodate displays larger than the 6' tabletop. If you have any
audio visual requirements, please let us know and we will send you
the request form from The Peabody Little Rock. Each facility is
responsible for their own audio visual charges.
Those entities registering for the ‘Take One’ Literature Table should
ship materials according to the instructions above. Your materials will
be displayed on our literature display table and replenished throughout
the conference. Leftover materials will be discarded.
Cancellation Policy
All requests for cancellations must be received in writing via
fax or email to Leigh Stewart (fax: 312/988-5785 or
[email protected]). Cancellations received before July 21, 2008
will receive a full refund. Cancellations received on or after July 22,
2008 will receive a 50% refund. After August 8, 2008 fees are not
refundable, but we encourage you to send materials for the
“Take One” Table.

Meal Tickets
Each exhibiting entity will be provided with meal tickets for one individual.
Additional attendees must register for the Conference at our special exhibitor
rate of $225. This fee will include all conference privileges including meals.
Meals include: Breakfast and Lunch on Wednesday and Thursday and Dinner
on Thursday at The Clinton Library.
