SUMMARY Reporting to the Vice President for Finance and Operations, provides front desk receptionist, administrative support to the Finance and Operations team, and other administrative and operational support by performing the following duties: Essential Duties and Responsibilities include the following. Other duties may be assigned. 













Display a pleasant and professional disposition at all times while covering the reception area. Welcome and determine purpose of visitors, notify, announce and escort visitors to appropriate personnel or conference room. As needed, provide support to the Foundation’s conference center attendees. Promptly direct requests for conference center scheduling to appropriate staff person. Answer incoming telephone calls in a timely manner; determine purpose of callers, and forward calls to appropriate personnel or department. Take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable. Receive, sort, and distribute incoming regular and express mail; ensure proper labeling and postage for outgoing regular and express mail in a timely manner. As directed, provide administrative support for the Vice President for Finance and Operations by managing her calendar, correspondence, telephone communications and other administrative tasks as requested. As needed, provide administrative support for the Business Operations Associate and Accounting Manager. Collect and organize expenditure receipts and prepare expense reports and monthly AMEX reconciliations. Liaise with the Executive Assistant on the preparation of Board Finance, Investment and Audit Committee materials. Maintain all common areas in an efficient, orderly and neat manner. Organize accurate and neat filing systems. Place orders for and ensure adequate inventory of office supplies. Draft correspondence through proficient use of appropriate Microsoft Outlook, Word and related software applications. 

Maintain the petty cash box ensuring accurate receipts and cash on‐hand. Provide backup assistance as needed to other administrative support staff and work collaboratively with other administrative staff members as a member of the administrative support staff.  Provide suggestions on how to improve administrative and operational processes and systems.  Perform other administrative and operational support duties as needed to support the Foundation’s operations. Supervisory Responsibilities This job has no supervisory responsibilities. Education and/or Experience Bachelor’s degree from a four‐year college or university preferred, and three (3) years of related administrative experience in a nonprofit environment, or equivalent combination of training and experience. Professional appearance and pleasant disposition that makes others feel comfortable and welcome. Demonstrated ability to work harmoniously with others and provide professional and diplomatic receptionist and administrative support. Ability to learn quickly and produce accurate and timely work products. Demonstrated work history of excellent attendance and punctuality. Good oral and written communication skills. Excellent interpersonal and organizational skills with ability to multi‐
task, prioritize and coordinate multiple priorities. Ability to work independently once instructions are given. Computer/Technology Skills Typing speed of 40 wpm and proficiency in use of computer technology primarily Microsoft Word, Outlook, Calendar and Excel.
