To promote the welfare of the children in the home, school and the community. To foster home and school relationships so that parents, administration and teachers cooperate to promote unity. To develop among the parents, administration, teachers and students such united efforts as to ensure each student the highest level of support. To give maximum financial support for school-­‐based initiatives. PTO Elections for 2015-­‐2016 §

PTO Board members serve a 2 year term Please nominate an individual or yourself, with their permission, for one of the following roles. Sets the agenda, calendar, and presides over all monthly PTO meetings & executive committee meetings
Solicits agenda items & acts as contact person for anyone suggesting an agenda item.
Supports all Committee Chairs and scheduled events.
Serves as PTO spokesperson at school events (e.g. Kindergarten tea, open house, etc.).
Meets and welcomes new families.
Shares best practices and network with other schools’ PTO officers.
Liaison between the PTO and principal and staff.
Establishes relationships with local businesses and organizations.
Monitors monthly budget reports.
Approves un-budgeted funding requests at $100.00 or less.

Stands in for the President, as needed, when unavailable to do assigned duties.
Assists with Monthly PTO meetings.

Sets-up PTO meetings, tables, chairs, ensure needed supplies are available.
Provides in-put/feedback on the PTO website.

PTO Secretary: Responsibilities & Time Commitments Include:

Authors and distributes a monthly online and printed backpack PTO newsletter that includes the meeting minutes.
§
Posts meeting minutes on the PTO website.
§
Moderates online tools and social networking.
§
Edits and sends out all communications.
§
Coordinates printing for PTO events and fundraisers; may include creation of content of flyer or advertisement if requested by activity chair(s).
§
Coordinates approvals of all publicity material including backpack flyers with school principal.
§
Creates templates for consistent PTO communications.
§
Prepares sign-in sheet for all PTO meetings, collect sheet following meeting adjournment.
§
Records and transcribes monthly meeting minutes.
§
Attends monthly Executive Board meetings and record minutes.
§
Prepares PTO correspondence as needed (e.g. thank you notes)
§

Pays all bills and issue all checks for reimbursement.
Works closely with the school’s bookkeeper
Makes all bank deposits.
Reconciles monthly bank statements.
Maintains general ledger for all accounting transactions.
Provides financial reports for monthly meetings.
Prepares yearly budget with input from board members.
Supports events:
o
Organizes and distributes change boxes as needed for all events needed (e.g. spring fair, auction).
o
Collects money at end of events and prepare deposit for bank. Photocopy checks before depositing.
o
Keeps receipts/records or payment and deposits organized by event.

Volunteer Coordinator: Responsibilities & Time Commitments Include:

Recruit volunteers
Works with school employee to obtain approved volunteer lists
Provide volunteer information at open house and varied school functions
Distribute volunteer enrollment applications (or interest surveys) to all parents
Call for volunteers for specific school programs or PTO events
Train volunteers as needed
Promote volunteerism
o
Use school newsletter or PTO message board to report overall volunteer needs, activity and accomplishments
Provide ongoing recognition for all volunteers
Plan and coordinate volunteer appreciation week
Nurture rapport with staff and volunteers
Manage volunteers
Assess overall volunteer needs with staff, Principals and PTO
Compile list of active volunteers, tally volunteer hours and enter on Excel database
Share volunteer opportunities and news with webmaster

Membership Director: Responsibilities & Time Commitments Include:

Promote and encourage membership in PTO for both the family and staff audiences via two separate campaigns and maintain accurate records for each group.
§
Attend and provide forms for Meet The Teacher Day, Open House and attend key family events to drive and discuss parent involvement in the PTO.
§
Update membership form yearly
