Page 1 President’s Emergency Plan for AIDS Relief PEPFAR User Management TBD Mechanisms This instruction sheet explains how to assign COP Targets to new Implementing Mechanisms (IM) created within FACTS Info with the Implementing Partner (IP) designated as ‘TDB’ , meaning the IP is To Be Determined upon award. Overview
Most MER data entry forms (called Data Sets) are only available to Implementing Partners via their Implementing Mechanisms. [Note: There are a couple of data sets for USG (Narratives and OU level Targets]. TBDs by definition do not have IPs, but may still require Targets as COP’15 requires Targets be set for the following year, FY’16, and TBD Mechanisms may well be awarded by then and have begun to collect results. There is a ‘IP’ called ‘TBD’ in each OU, and all TBD mechanisms are associated with that ‘IP’. So, to add Targets to a TDB mechanism the USG team member responsible for the IM needs to establish themselves as a member of the TBD IP and act as a surrogate IP. To do this, contact your DATIM User Administrator and request that the Administrator follow the steps below [Note;; this is a version of the general User Administration App User Guide modified for TBD Mechanisms. Page 2 President’s Emergency Plan for AIDS Relief PEPFAR User Management Adding New TDB Mechanism Users in DATIM This section describes accessing the User Administration App. The User Management App allows DATIM users (with proper permissions) to add new users and modify existing users’ access to DATIM functionality based upon data set and role. To access the User Management App, select the Apps feature on the navigation ribbon located at the top right of the screen. Once accessed, select the arrow button at the bottom of the App section to see more options (if necessary). Use the side bar to scroll down to the bottom of the application options. Select User Administration, which will appear in the application list. Page 3 President’s Emergency Plan for AIDS Relief PEPFAR User Management Once you have selected PEPFAR User Management your screen will appear as follows: • On the right hand side of the screen, you can Invite a new user to DATIM To Invite a User: 1. Click Invite User 2. Once the Invite User screen displays, first select the type of user you’d like to add from the dropdown…in this case the selection will be ‘PARTNER’ and select the patenr named ‘TBD’. In the email address field, enter a valid user email address* • *An invitation email will be sent to the new user once the account creation process is complete • In this case, you want the Administrator to invite YOU so use your own email address 4. In the language field, select the language which you’d like the new user account to be created in 5. Be sure to select the User Manager checkbox so that you yourself can add additional USG data entry personnel to see the TBDs mechanisms. From the Data streams field, select the applicable data stream(s) for the new user account • Note: If granting the new user access to manage users, the data streams and user actions are auto-­selected by the system • When you select ‘user manager’ all releveant permission and data streams are selected. 7. From the user actions field, select the applicable permission(s) for the new user account • Note: If granting the new user access to manage users, the data streams and user actions are auto-­selected by the system • When you select ‘user manager’ all releveant permission and data streams are selected. 8. Once all information has been selected for the new user account, click the Invite User button • The new user will receive 2 emails instructing them to create a username and password to access the account Page 6 President’s Emergency Plan for AIDS Relief PEPFAR User Management Next Steps • Self-­register as a member of ‘TBD’ partner via an invitation you send to yourself (it included ‘User Manager’ which allows you to invite additional users who can also simulate the TBD partner and enter Targets) • Then go into the Data Entry app and locate the first facility for which you’d like to enter Targets • Select the appropriate TBD mechanism from the drop down list Page 7
