How to Add/Remove Staff from my School ERN list
Staff Maintenance in Place Management enables users to Add and Remove Staff
from your school list.
Add Staff
Click Add employee to ERN staff list button. The following window will open
•
Search employee in HR staff list is available by clicking the magnifying glass
alongside the field. This allows you to search for new staff in the Central HR staff
list

We recommend you search by Employee ID where this is known. Otherwise
minimum input is required which is First initial and Family name, hit Search
button to start search

Confirm that the staff details displayed are as expected
•

Click the staff name to continue adding that staff member to your school.
All information will be returned to Staff Detail window, the Validated check box
is ticked
Check all the details.
•
Note: Print Name: mandatory. Name shown in ERN system. Print
name is defaulted to Title+ First initial +Last name. Print name can
be changed.
•
Click Save or Save & Exit button to save staff and return to Staff Maintenance
window
OR
If the staff member you wish to add was not found in the Central HR staff list (above)
then they can be added manually – see below
* This may occur if you don’t know their Employee ID, or they are very new to the
Department and details are not yet available to ERN

Input staff detail
o Title
o Family Name: mandatory
o Given Name: mandatory
o Employee ID: mandatory
NOTE: If staff do not have Employee ID, could always put something
(E.g. -3) in and change it later.
Active Status
Gender
Date of Birth (Optional)
Print Name: mandatory. Name show in ERN system. Print name is
defaulted to Title+ First initial +Last name. Print name can be changed.
Tick Accepted check box
Click Save or Save & Exit button to save staff and return to Staff Maintenance

At a future time you can try to verify this staff member details. Simply select the staff
member from your school’s list of staff (click on their name) and click on the Verify
Employee Details button as show above. If all information is accurate, Validated
check box will be ticked automatically
Re-add Staff that have previously Left
•

Under Staff Maintenance, from the Status field drop-down list, select Left.
Click on Go.

A list of previous Staff Members will be displayed. Select the appropriate staff
member’s record and check the box next to the name.
Click on Change Status.
Change the New Active Status field to Active and click on Save And Exit.
If the staff member is not validated, click on the staff member’s name to go into
their details and then click the Verify Employee Details button.
Remove Staff

Tick the check box alongside the staff name, multiple selections is permitted.
Click Change Status button.

Change the New Active Status from Active to Left
Save or Save And Exit to save the current input
The selected staff are removed from the school’s staff list
