How to Deposit - University of Surrey

Adding full text to Symplectic
How to deposit your paper and give permission to make it available on open access: please
note you are granting your permission not your publisher’s.
This guide takes you through the uploading process step by step.
1. Save your own version.
a. For journal articles or conference proceedings:
Please upload the final, peer-reviewed, accepted manuscript. This is the version that
most publishers will allow you to deposit. In addition, to be eligible for submission to the
post-2014 REF, authors’ final peer-reviewed manuscripts of journals and conference
papers must have been deposited in an institutional or subject repository within three
months of acceptance for publication.
N. B. This is NOT the published version, or any of the publisher’s proofs.
b. For every other type of publication:
Keep a copy of your paper, preferably your own version.
2. Go to SRI Publications Database (Symplectic):
Directly http://symplectic.surrey.ac.uk
Log in with your University IT username and password.
Via Remote Access (for off-campus access)
https://remote.surrey.ac.uk
Enter your University IT username and password when prompted. You may be presented
with a pop-up asking that you install Juniper networks, if this is the case select install.
Once on the remote access screen you will see the option Publications Database
(Symplectic) listed.
Via the Webpage http://www.surrey.ac.uk/library/research/managingpublications/
3. Under ‘My Publications’ choose the type of publication you would like to add full text to:
4. Find the paper you would like to deposit, you can sort all publications alphabetically or by
date or you can search:
5. Click on the Full Text tab and then Click on “Manage full text”
If you have already uploaded a file for this paper, an active link to the item in SRI Open
Access will be visible here. There is no limit on the number or size of file/s that can be
uploaded
6. Browse to find your file, then click upload. Choose the version of the file from the drop down
menu:
7. Click on the ‘Grant’ button for distributing and archive rights. This means that you are happy
to deposit the paper in SRI Open Access. Please note that the paper first goes to the backend of SRI Open Access. It will only be made public if the publisher’s copyright policy allows
it. The SRI team will check publishers’ permissions for you and advise you if the paper cannot
be posted.
