Context:
Under the overall supervision of the Chief, HR Policy and Advisory Services and the direct
supervision of the Insurance & Provider Specialist at HRM Headquarters, the Insurance

Administrative Assistant will be responsible for performing all the administrative functions to
support the work of the Staff Insurances Administration.
Core Functions / Responsibilities:
1. Responsible for the calculation of entitlements under the Incapacity and Partial Disability
Insurance (IPDI) and for the drafting of correspondence with the insurance company to
recover amounts due related to cases covered by the IPDI.
2. Compile information, reports, tables and charts concerning claims experience (premiums
paid to the insurer compared to amounts disbursed by the insurer). Assist in the
compilation of multiple data and production of statistics on claims experience. Assist in
the financial analysis of the insurance policies.
3. Prepare lists for the insurance company related to changes in the IPDI membership.
4. Assist in administrative procedures related to the payment of insurance premiums.
5. Draft correspondence with IOM’s insurance providers regarding insurance entitlements.
Draft responses and provide guidance to colleagues in Geneva and in country offices
about insurance queries. Assist staff worldwide seeking guidance on insurance and
related procedures. Re-direct queries when necessary and facilitate contacts as
required.
6. Draft and update insurance instructions, guidelines and other administrative issuances.
7. Assist in the coordination with accredited hospitals regarding new agreements or
renewal of agreements.
8. Issue certificates of coverage and guarantees of payment when needed.
9. Maintain and manage all insurance files.
10. Perform such other duties as may be assigned.

Required Qualifications and Experience
Education

University degree in Accountancy, Business, Public administration, or Social
insurances preferably in the health care field from an accredited academic institution
with five years of relevant professional experience.
Experience







Experience drafting communications and reports in English and French;
Experience in the use of data collection and statistical tables;
Experience in administrative procedures and work;
Experience in health care specifically medical, social security, or medical claims
administration is an advantage;
Good knowledge of financial and accounting procedures, delivery in a timely and
accurate manner;
Ability to analyze reports and draft correspondences;
Acute sense of confidentiality in appropriate areas of work and discretion when
dealing with insured persons on sensitive issues.
Languages
Fluency in English and French is required. Working knowledge of Spanish is an advantage.
